Purchase order terms and conditions

By accepting this Purchase Order (PO), the supplier agrees to the following terms and conditions:

1. Certification and Documentation Requirements

All applicable certifications, test reports, and supporting documentation must accompany each shipment. Documentation shall include, as applicable, material certifications, special process certifications, certificates of conformance (C of C), and inspection records verifying compliance to RTC purchase order requirements.

2. Right of Access

The supplier shall provide RTC, its customers, and regulatory authorities the right of access to applicable areas of all facilities involved in the order, as well as access to all relevant records. This includes verification of product, processes, and quality systems related to RTC’s products or contracts. Access will be limited to records and products directly related to the applicable order.

3. Flowdown of Requirements

The supplier shall flow down all applicable RTC, customer, and regulatory requirements — including key characteristics, special processes, and quality system expectations — to all sub-tier suppliers or subcontractors involved in fulfilling this purchase order.

4. Notification of Changes and Nonconformities

The supplier shall notify RTC immediately of any:
– Nonconforming product, material, or processes that may affect delivered items;
– Changes in manufacturing processes, materials, suppliers, or facility location;
– Unexpected anomalies or deviations discovered after delivery.
RTC reserves the right to review and approve such changes prior to continuation of work or shipment.

5. Corrective Action

The supplier shall implement timely and effective corrective actions when notified by RTC of product nonconformities, audit findings, or customer complaints. Evidence of corrective action shall be documented and made available to RTC upon request.

6. Record Retention

All records associated with the manufacturing, inspection, test, and certification of RTC products shall be retained for a minimum of seven (7) years from the date of shipment unless otherwise specified by RTC or its customers. Records shall be retrievable and available for review upon request.

7. Ethical Compliance

The supplier shall maintain ethical business practices and comply with the Aerospace Industries Association (AIA) Global Principles of Ethics in the Aerospace & Defense Industry, available here:

8. Product Safety and Awareness

The supplier shall ensure that all personnel are aware of:
– Their contribution to product or service conformity,
– Their contribution to product safety, and
– The importance of ethical behavior in their roles.
Training and awareness programs should reflect these principles.

9. Counterfeit Parts Prevention

Suppliers shall have processes in place to prevent the use or delivery of counterfeit or suspect counterfeit parts. Components must be procured from approved and traceable sources only.

10. Quality System Expectations

Suppliers are expected to maintain a quality management system compliant with AS9100, ISO 9001, or an equivalent standard appropriate to the product or service provided. RTC reserves the right to audit or evaluate supplier quality systems as necessary.
